Cologne-based LINDA AG owns Germany’s leading umbrella brand in the owner-managed pharmacy sector, “LINDA Apotheken.” Around 1,100 pharmacies have joined the LINDA brand. LINDA AG’s tasks include developing marketing services for its member pharmacies, collaborating with top-class partners such as PAYBACK and the German Football Association. Over 60 percent of the population knows the “LINDA Apotheken” brand. LINDA recently received the Pharma Marketing Award in its specialist industry. End consumers also selected LINDA pharmacies in first place on multiple occasions this year, including as a “service champion” (DIE WELT), the “fairest pharmacy group” (FOCUS MONEY) and the pharmacy group with the “highest customer trust” ratings (WirtschaftsWoche).

Project scope and aims

Following several presentations at LINDA AG, the internal project team decided to introduce the document storage system d.3ecm from d.velop. “We have found the right partner in d.velop. It brings the expertise we need to improve the flow of information in our company even more,” agree Jochen Schäfer, Head of IT, and Jörg Scharnickel, Commercial Manager at LINDA AG.

d.3ecm will be used as the central document repository and will provide long-term storage for documents that are subject to statutory retention periods. As well as connecting to the SAP BusinessOne ERP system, the solution will store incoming invoices and is planned to act as a central digital management tool for all contracts. In the future, the d.velop workflow engine will assist with the submission of leave applications and help to simplify the process of approving and checking quality management documents. An image pool using a central file plan is being mapped for the “Marketing and Communication” department. The reporting functions in the system will later be used to identify process optimizations.

The solution is operated on virtualized environments. For long-term storage, an external medium is connected and mapped in compliance with auditing requirements using Icas Iternity.
