The human resources department at BRAX Leineweber manages a total of 1300 employees—and until 2015 this was done in the classical manner, with paper personnel files that were maintained by hand. “There was a lot of room for improvement, since our paper files had several disadvantages compared to new solutions,” says Marion Gruffke from IT Process Management at BRAX Leineweber. “For example, hard copy personnel files can be given out only once, and detail searches are more difficult and cannot compete with the convenient options offered by digital files,” says the IT expert. Another problem was that the decentralized locations found it more complicated than necessary to access the personnel files of their own employees. Together with her colleagues, Marion Gruffke looked at many solutions and held intensive discussions about updating their personnel files to a digital system in order to make HR processes simpler and more efficient in the future.

2B Consulting’s expertise proved convincing
While searching for a service provider, BRAX Leineweber was impressed by the expertise of 2B Consulting from Nordhorn. The team demonstrated in Herford the digital personnel file solution (ElPa) developed by 2B, based on the d.velop document management system, and also presented a compelling integration with the VEDA human resources software. “We went into great detail and had many questions – and 2B Consulting always had solutions. The competence of the project managers ultimately convinced us,” said Marion Gruffke.
While BRAX Leineweber worked with a service provider to digitise nearly 100,000 pages, 2B Consulting focused on implementing the DMS and tailoring the system to meet the fashion brand’s specific requirements. The result is impressive: today, Personnel File 2.0 is the first point of contact for all key information. Authorised managers and the HR department now have incredibly convenient, one-click access to all relevant data – without compromising data security. “Thanks to clearly defined security settings and access levels, we can now define much more precisely who is allowed to see which details of personnel files. This allows us to prevent unauthorised access even more effectively,” adds Marion Gruffke.

Digitalisation makes processes smarter
An employee has keys for a store or the main building? A colleague at a branch has been issued a camera? The issuing of such work equipment is handled decentrally, yet responsible staff can now add this information to the digital personnel file themselves with just a few clicks. Intermediary steps such as phone calls or emails are no longer necessary. Thanks to full-text search, those responsible can also quickly see who is using which hardware. The same applies, for example, to the allocation of company cars. A specially designed cover sheet, which summarises the most important data from the personnel file and is updated daily, provides a particularly quick overview.
Workflows truly simplify work
The time-consuming search for detailed information is now a thing of the past – for employees, this means noticeable time savings and a real relief in their daily work, says Marion Gruffke. She and the IT process management team already have further improvement ideas. Soon, processes will be automated through individually defined workflows: for example, in the case of fixed-term employment contracts, automatic email reminders will be sent to decision-makers to ensure timely action. Additional workflows – such as for processing holiday requests – are already in planning. Are performance reviews now conducted solely with a tablet in hand thanks to the digital personnel file? “No, not at all,” says Gruffke. “In this case, the personal one-on-one conversation still matters more than looking at an iPad or similar device,” the IT expert emphasises.

Er was veel ruimte voor verbetering, omdat onze papieren dossiers verschillende nadelen hadden ten opzichte van nieuwe oplossingen. Personeelsdossiers op papier kunnen bijvoorbeeld maar één keer worden uitgegeven en het zoeken naar details is moeilijker en kan niet concurreren met de handige opties die digitale dossiers bieden.
